Getting started with Krakzilla

Krakzilla emails your QuickBooks invoices with a pay link, reminds your clients on schedule and records every payment back in QuickBooks. Setup takes about 15 minutes at your setup page.

You'll need

  • QuickBooks Online, with the login that can connect apps;
  • a US business bank account for payouts;
  • your business details for Stripe (tax ID or SSN, address).

Setup

  1. 1. Connect QuickBooks. Sign in with your QuickBooks login and pick your company. Krakzilla reads your customers and invoices and keeps them in sync.
  2. 2. Set up payments. Payments go through your own Stripe account straight to your bank. Stripe asks for your business details, bank account and an identity check; it usually takes a few minutes, sometimes a day or two to verify. Already use Stripe? Connect that account only if it belongs to this business and takes no other payments; otherwise set up a new one, since one Stripe login can hold several.
  3. 3. Stop QuickBooks from collecting too. In QuickBooks, turn off automatic invoice reminders (Settings → Account and settings → Sales → Reminders) and online payments on new invoices (Settings → Account and settings → Payments). If another app records Stripe payments in QuickBooks, turn it off for these invoices. Otherwise clients get two sets of reminders, and payments get recorded twice.
  4. 4. Turn on collections. Start in Review mode: you approve each new invoice before Krakzilla emails it. Once you're comfortable, switch to Autopilot.
  5. 5. Pick existing invoices (optional). Invoices from before today stay with you unless you pick them. By default Krakzilla only sends their reminders, since your client may already have the invoice.

What your clients see

  • An email from your business name, with your reply-to address, the invoice as a PDF and a Pay button. Replies come to you.
  • Stripe's payment page in your business's name. Bank transfer comes first; cards only if you allow them.
  • If they connect their bank by logging in, Stripe's screen says "Krakzilla uses Link to connect your accounts". That's the only place Krakzilla's name appears.
  • Reminders before and after the due date, which stop as soon as the invoice is paid, and a receipt once a payment completes.

Fees

  • Bank transfer: 1% of the payment, never more than $15, Stripe's fee included.
  • Card (only if you turn cards on): 2.99%.
  • Stripe also charges your Stripe account directly: $1.50 per client, the first time they link their bank by logging into it, $4 for a failed bank payment and $15 for a dispute.
  • No subscription. Settings → Billing shows what getting paid cost you each month.

Your books

  • Each payment is recorded in QuickBooks against its invoice, into a "Stripe Clearing" account.
  • Each Stripe payout is recorded as a deposit with its fees. When it shows up in QuickBooks' bank feed, choose Match, not Add.
  • Refunds and disputes are flagged on the dashboard for you to record.

Day to day

  • The dashboard shows what's outstanding, overdue and paid, and Needs attention lists anything waiting on you (an invoice to approve, a missing email address, a bounced email).
  • Each invoice's page shows its emails, reminders and payments, with buttons to send, pause reminders or copy the pay link.
  • Settings → Emails changes what your emails say; Settings → Collections changes the reminder schedule.
