Privacy policy

Krakzilla is run by KRAKZILLA LLC, a Washington company ("Krakzilla", "we", "us"). Krakzilla helps businesses that use QuickBooks Online send invoices, remind their clients and collect payments. This policy explains what information we handle and why.

Two kinds of people

• Businesses sign up for Krakzilla and connect their QuickBooks and Stripe accounts. For their information, we decide how it's used, as this policy describes.
• Their clients receive invoices and pay through Krakzilla. We handle client information only on behalf of the business that invoiced them, to send that business's emails and collect its payments. Questions about how a business uses your information are best sent to that business.

What we collect

• Your account: your name and email address, and, if you sign in with Intuit, the identifier Intuit gives us for your login.
• From QuickBooks, once you connect it: your company details, customers (names, email addresses, phone numbers), invoices and payments. We read this to send invoices and reminders, and we write payments, deposits and fee records back, along with email addresses you correct in Krakzilla.
• From Stripe, once you set up payments: your account's status, business name and payout bank (its name and last four digits); each payment's amount, method, fees, status and the payer's email address; and your payouts, including the amount, type and description of anything else in each one, so we know which payouts we can record in QuickBooks. Your Stripe account stays yours to use for anything else, and we read only what Krakzilla needs. Full card and bank account numbers stay with Stripe; we never receive or store them.
• Emails we send for you: who they went to, when, and whether they were delivered, opened or bounced, as reported by our email provider.
• Technical information: IP addresses and browser details in our logs, used for security, rate limiting and fixing problems.

How we use it

• To provide Krakzilla: emailing invoices, receipts and reminders on your behalf, taking payments through your Stripe account and recording them in QuickBooks.
• To keep Krakzilla secure and working, and to support you.
• To meet legal and accounting obligations.

We don't sell information, use it for advertising, or email your clients about anything except your invoices and payments. We don't use advertising or analytics cookies; Krakzilla sets only the cookies needed to keep you signed in and to complete sign-ins securely.

Who we share it with

Only the service providers that run Krakzilla, each for its part of the service:

• Intuit (QuickBooks Online and Sign in with Intuit);
• Stripe (payment processing and payouts);
• Postmark (sending email);
• Supabase (database), Vercel and Render (hosting);
• Sentry and Better Stack (error reporting and uptime monitoring).

We may also disclose information when the law requires it, or to protect Krakzilla, our users or the public from fraud or harm.

How long we keep it

• If you disconnect QuickBooks, we stop syncing at once and delete our copy of your QuickBooks data 30 days later, unless you reconnect.
• Records of payments, payouts, emails sent and changes made in QuickBooks are kept for several years, as financial records.
• If you close your account, we delete your information except what we must keep for financial, tax or legal reasons.

Security

Information is encrypted in transit. QuickBooks access tokens are encrypted in our database with a key kept outside it. Access to production systems is limited to the people who run Krakzilla.

Your choices

You can ask us for a copy of your information, or to correct or delete it, by emailing support@krakzilla.com. You can disconnect QuickBooks or Stripe from Krakzilla at any time in Settings, or from QuickBooks itself. Krakzilla is for businesses and isn't directed at children.

Changes

If we change this policy, we'll update the date above, and tell businesses by email before significant changes take effect.
